Privacy Policy

One policy for the Ajebo Fix website, consultation journeys, Aura/Rina, billing workflows and advertising lead capture.

Ajebo Fix Ltd ("Ajebo Fix", "we", "us" or "our") respects the privacy of clients, prospective clients, website visitors, Aura/Rina users, job applicants, business contacts and people who submit information through advertising lead forms. This policy explains what personal information we process, why we process it, who we may share it with, how long we keep it and the choices available to you.

1. Who is responsible for your information

Ajebo Fix Ltd is the data controller for personal information covered by this policy where we decide why and how that information is processed.

This policy is intended to be read together with any more specific notice shown when you submit information. Third-party platforms and services may also process your information for their own purposes under their own privacy policies.

2. Where this policy applies

This policy applies to personal information processed through or in connection with:

  • ajebofix.com and Ajebo Fix website forms;
  • consultation requests, vehicle assessments, client communications and service coordination;
  • Aura and A.J. Rina features, including vehicle records, conversations and decision-support workflows;
  • Ajebo Fix billing workflows, estimates, invoices, receipts, payment records and related documents;
  • email communications and mailing preferences managed through Ajebo Fix systems;
  • lead-generation forms and campaigns on platforms such as TikTok and Meta;
  • client feedback, testimonials, careers and talent expressions of interest; and
  • other digital services that link to or expressly adopt this policy.

3. Information we collect

Depending on how you interact with Ajebo Fix, we may collect the following categories of information:

  • Identity and contact information: name, email address, phone number, city, service address and preferred contact method.
  • Vehicle information: make, model, year, registration details, VIN/chassis information, mileage, photographs, warning lights, diagnostic trouble codes, service history, reported concerns and assessment information.
  • Consultation and service information: appointment details, messages, scope discussions, treatment or repair records, notes, uploaded documents and information supplied by you, your driver or an authorised representative.
  • Billing and payment information: estimates, invoices, receipts, amounts, discounts, payment method, transaction or payment references, payment status and related accounting records. Where a bank or payment provider handles payment credentials, those credentials are generally processed by that provider rather than stored by Ajebo Fix.
  • Aura/Rina information: account details, vehicle profiles, prompts, conversation content, uploaded images or documents, system-generated responses, feedback and technical metadata needed to provide and improve the experience.
  • Advertising and lead information: information you submit through TikTok, Meta or other lead forms, which may include your name, email, phone number, city or country, answers to qualifying questions, campaign source and consent selections.
  • Website and security information: IP address, device and browser information, timestamps, pages or features used, security events, form-verification information and cookies or similar technologies used for essential functionality and protection.
  • Recruitment and business-contact information: work history, portfolio or LinkedIn links, role interests, correspondence and information you choose to provide in connection with possible work or partnerships.
  • Consent and preference records: whether and when you agreed to receive optional updates, withdrew consent, unsubscribed or changed a communication preference.

Please avoid sending information that is not reasonably necessary for the automotive, billing, employment or other purpose for which you are contacting us.

4. How we collect information

We may receive information:

  • directly from you when you complete a form, create an account, contact us, make a payment, upload a document or communicate with Aura/Rina;
  • from an authorised driver, assistant, employer, family member or other representative acting for a vehicle owner;
  • from advertising platforms when you submit an Ajebo Fix lead form or consent to information being passed to us;
  • from documents, diagnostic reports or vehicle data you provide or authorise us to use; and
  • automatically from our websites and systems for security, authentication, performance and basic usage logging.

5. Why we use your information and our lawful bases

We process personal information only when we have a lawful basis under applicable data-protection law. Depending on the activity, our lawful bases may include consent, taking steps at your request before entering a contract, performing a contract, complying with a legal obligation and our legitimate interests where those interests do not override your rights and freedoms.

  • to respond to enquiries and determine whether Ajebo Fix can assist with a consultation or vehicle concern;
  • to create and maintain client, vehicle, consultation and service records and provide continuity of care;
  • to operate Aura/Rina, explain vehicle information in plain language and support human-led automotive decisions;
  • to prepare estimates, invoices and receipts, record payments, reconcile accounts and maintain required business records;
  • to send requested confirmations, service communications, account notices and other transactional messages;
  • to send optional Aura development, marketing or promotional communications only where a suitable lawful basis exists, including consent where required;
  • to follow up with people who intentionally submit Ajebo Fix advertising lead forms;
  • to manage testimonials, talent interest, partnerships and business relationships;
  • to detect spam, abuse, fraud, security threats and unauthorised access;
  • to troubleshoot, maintain and improve our systems, workflows and client experience; and
  • to establish, exercise or defend legal claims and meet regulatory, tax, accounting or other legal obligations.

Where information is necessary to provide a requested service or to meet a legal requirement, choosing not to provide it may mean we cannot proceed with the request, transaction or service.

6. Advertising leads and marketing consent

Ajebo Fix may use lead-generation products offered by TikTok, Meta and other advertising platforms. If you submit one of our lead forms, the platform may provide Ajebo Fix with the information and consent choices displayed on that form. Some fields may be pre-filled by the platform from information associated with your account.

Submitting a consultation or lead request does not automatically mean you have agreed to unrelated marketing. Where we ask for optional marketing or product-update consent, that choice will be separated where appropriate, and you may withdraw it at any time. We may keep a minimal suppression record after an opt-out so that we can continue to respect your choice.

7. Aura/Rina and artificial intelligence

Aura and A.J. Rina are designed to support automotive-health understanding, record organisation and decision preparation. Information submitted to these features may be processed by Ajebo Fix systems and by AI or cloud service providers configured to deliver the feature, which may include providers such as OpenAI or Anthropic where enabled.

Aura/Rina is not intended to make a solely automated decision that produces legal or similarly significant effects about you. Automotive recommendations remain subject to professional judgement and, where appropriate, physical assessment. If a future feature introduces meaningful automated decision-making or profiling, we will provide appropriate information and rights, including human review where required by law.

8. Who we may share information with

We do not sell or rent your personal information. We may disclose limited information to:

  • Cloudflare, for website delivery, security, traffic protection and Turnstile form verification;
  • Supabase, for database, authentication and storage services used by Ajebo Fix web systems;
  • Resend, for transactional email delivery, contact records and communication preferences;
  • TikTok, Meta and other advertising platforms, where we use their lead-generation, campaign or measurement services;
  • AI, cloud-hosting and deployment providers supporting Aura/Rina, billing and related Ajebo Fix systems;
  • banks or payment providers where needed to process, confirm or reconcile a payment;
  • automotive specialists, diagnostic-information providers, parts suppliers, towing/logistics providers or other service partners when sharing is reasonably necessary to assess or fulfil an authorised vehicle request;
  • professional advisers, such as accountants, auditors, insurers or legal advisers, where necessary; and
  • regulators, courts, law-enforcement or public authorities where disclosure is required or permitted by law.

Service providers acting for Ajebo Fix are expected to process information only for authorised purposes and with appropriate confidentiality and security protections.

9. International processing and transfers

Some of our technology and service providers operate infrastructure outside Nigeria. As a result, personal information may be stored or processed in other countries. Where Nigerian law requires safeguards for an international transfer, we take reasonable steps to use a lawful transfer basis and an appropriate level of protection, taking account of the Nigeria Data Protection Act 2023 and applicable guidance.

10. How long we keep information

We do not keep personal information indefinitely simply because we can. Retention depends on the purpose, the continuing client relationship, legal requirements, security needs and whether information is needed for a dispute or claim. Our usual retention approach is:

  • enquiries and advertising leads that do not become clients: generally up to 24 months after the last meaningful interaction;
  • client, vehicle, consultation, service, Aura/Rina and treatment-history records: for the active relationship and generally up to 6 years after the relevant relationship or record becomes inactive where needed for continuity, accountability or legal claims;
  • billing, invoice, receipt and accounting records: at least 6 years where required for company, tax or accounting obligations, and longer where a legal exception requires it;
  • unsuccessful talent or recruitment expressions of interest: generally up to 12 months unless you ask us to delete them earlier or agree to a longer talent-network period;
  • marketing preferences and opt-outs: for as long as needed to manage the communication and preserve evidence of your current preference;
  • security and technical logs: for the shortest practical period consistent with security, investigation and provider requirements, commonly up to 12 months unless an incident requires longer retention.

We may delete or anonymise information earlier when it is no longer needed. We may retain specific records longer where required by law, to prevent abuse, to resolve a dispute or to establish, exercise or defend a legal claim.

11. Cookies, security and similar technologies

Our websites and applications may use cookies, local storage and similar technologies for login, session continuity, preferences, form security, abuse prevention and system performance. Cloudflare Turnstile and related security tools may process device and network signals to distinguish legitimate users from automated abuse.

If Ajebo Fix enables non-essential analytics or advertising tracking that requires consent, we will provide an appropriate notice or choice before using that technology where required by law.

12. How we protect information

We use reasonable technical and organisational safeguards appropriate to the nature of the information and the systems involved. These may include access controls, authentication, role-based permissions, encrypted transport, service-provider security controls, server-side validation, anti-bot protection, audit records and restricted administrative access.

No online service or storage system can be guaranteed completely secure. If we become aware of a personal-data breach, we will investigate and make notifications where required by applicable law.

13. Your privacy rights

Subject to applicable law and any valid exceptions, you may have the right to:

  • be informed about how your personal information is used;
  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion or erasure of information that no longer has a lawful reason to be retained;
  • request restriction of certain processing;
  • object to processing based on legitimate interests or to direct marketing;
  • withdraw consent at any time where processing relies on consent, without affecting processing that was lawful before withdrawal;
  • request data portability where the legal requirements for portability apply;
  • object to or challenge qualifying automated decision-making and request human intervention where applicable; and
  • lodge a complaint with the Nigeria Data Protection Commission (NDPC).

These rights reflect the protections available to data subjects under the Nigeria Data Protection Act 2023, including rights described by the NDPC under sections 34–38 of the Act.

14. How to make a privacy request

To request access, correction, deletion, restriction, portability, withdrawal of consent or another privacy right, email care@updates.ajebofix.com with the subject Privacy Request. You may also contact us through the details shown above.

Please explain what you are requesting and provide enough information for us to identify the relevant records. We may ask for reasonable proof of identity or authority before disclosing or changing personal information. We aim to respond within 30 days, or within any other period required by applicable law. Some requests may be limited where we must keep records for legal, accounting, fraud-prevention, safety or dispute-resolution reasons.

You may also contact the Nigeria Data Protection Commission if you believe your data-protection rights have been infringed. Information about the Commission and data-subject rights is available at ndpc.gov.ng.

15. Children

Ajebo Fix services are not directed to children. We do not knowingly seek personal information from children for advertising or automotive-service purposes. If we learn that we collected a child's information without an appropriate lawful basis or required authorisation, we will take reasonable steps to delete or otherwise address it.

16. Third-party links and services

Our website, emails or applications may link to services operated by other organisations. Ajebo Fix does not control the privacy practices of those third parties. Review their privacy information before providing data to them directly.

17. Changes to this policy

We may update this policy as Ajebo Fix, Aura/Rina, our billing systems, advertising channels, service providers or legal obligations change. The current version will be published at this page with a revised effective date. If a change materially affects how we use information already collected, we will provide additional notice where required by law.
